Roles, Access and Trust

Four roles that match how groups actually work, a property manager who never sees a dollar figure, and a promise that nothing is ever deleted.

Different people need different things. That should be enforced, not requested.Groups who employ a caretaker face an uncomfortable choice: give them access to everything, or give them nothing and do the coordination yourself.

The person who looks after the place sees the work. Never the money.

Your property manager never sees a dollar figure

Groups who employ a caretaker face an uncomfortable choice: give them access to everything, or give them nothing and do the coordination yourself. This is the third option, and it isn't a settings checkbox. It's built into the foundations.

A property manager gets a purpose-built view: visits to perform, work orders to action, maintenance records to keep. They cannot see budgets, expenses, receipts, splits, contributions, cost figures on a work order, or comments discussing money, not on any screen, not through any link, not by any route. The restriction is enforced at the data layer rather than by hiding buttons, which means it holds even if someone goes looking. It's the single most distinctive thing about how Casa Cabana handles access, and it exists because the alternative puts groups off hiring help at all.

Owner, co-owner, finance lead, property manager.

Roles that match how groups actually work

Real groups have a person who handles the money and a person who handles the place. The roles reflect that rather than offering a generic “admin / member” split that fits nobody.

Four roles with distinct capabilities. An owner-admin manages the property and its members. A co-owner participates fully. A finance admin handles the money without needing full administrative control. A property manager maintains the place with money locked away entirely. Roles change as the group changes, and every change is recorded.

Get your co-owners in. That's the whole point.

Invitations

The product is worthless with one user and valuable with five. Inviting people is deliberately the easiest thing in it, on every plan including the free one.

Invite by email with a role attached. There are no seat charges at any tier, so there is never a financial reason to leave someone out, which matters, because a calendar half the owners can't see is worse than no calendar.

Change plans, cancel, come back. Your records are still here.

Nothing is ever deleted

The biggest hesitation about putting your property's financial and insurance history into software is what happens if you stop paying. The answer is: it waits for you.

Downgrading or cancelling hides the features of the plan you left. It does not delete a single record. Contribution history, receipts, the visit log, the binder, all retained, all returned the moment you upgrade. Corrections throughout the product work the same way: things are voided with a trail rather than erased, so the history stays honest.
